Migrating to Atlassian Cloud: Enhancing Efficiency and Compliance for a Technology Company

/* A case study on transitioning from on-premises Atlassian Server products to Atlassian Cloud, improving operational efficiency and ensuring compliance. */

Objective

To migrate from on-premises Atlassian Server products to Atlassian Cloud, ensuring continuous support, compliance with industry standards, and enhanced collaboration for approximately 250 users.

Starting point

The client, a technology company specializing in high-performance barcode readers and scanning software, faced several challenges:

  • End-of-Life Server Products: Atlassian announced the end-of-life for server products in October 2020, necessitating a transition to cloud-based solutions.
  • Outdated Software Versions: The company was operating on older versions of Jira, leading to potential security vulnerabilities and lack of access to new features.
  • Data Residency Philosophy: Historically, the company preferred keeping data on-premises, which conflicted with the need to migrate to cloud solutions.

Analysis

An in-depth analysis identified key issues:

  • Maintenance Challenges: The outdated Jira version required significant maintenance efforts and posed risks due to lack of support.
  • Compliance Risks: Continuing with unsupported server products could lead to non-compliance, especially as marketplace vendors ceased updates for server apps.
  • Integration Limitations: The on-premises Jira instance hindered seamless integration with Bitbucket Cloud, affecting development workflows.

Solution

To address these challenges, the following solutions were implemented:

Comprehensive Migration Plan 01

Developed a detailed migration strategy, including user access management and credential cleanup, to ensure a smooth transition.

Utilization of Atlassian Migration Tools 02

Employed Atlassian’s Jira Cloud Migration Assistant (JCMA), Confluence Cloud Migration Assistant (CCMA), and Bitbucket Cloud Migration Assistant (BCMA) for efficient data transfer.

Automated Reminders 03

Set up automated reminders for tasks such as vacations and software renewals to prevent oversights.

Collaborative Approach 04

Formed a joint project team comprising SPK and Associates’ experts and the client’s key personnel to oversee the migration process.

User Training and Support 05

TranProvided training sessions and ongoing support to facilitate user adaptation to the new cloud environment.

Result

Post-migration, the company experienced significant improvements:

  • Enhanced Support and Compliance: Transitioning to Atlassian Cloud ensured continuous support and compliance with industry standards.

  • Improved Collaboration: The integration between Jira and Bitbucket Cloud streamlined development workflows, enhancing team productivity.

  • Reduced Maintenance Efforts: The cloud environment minimized the need for manual maintenance, allowing the IT team to focus on strategic initiatives.

  • Scalability and Flexibility: The cloud-based solutions provided scalability to accommodate future growth and evolving business needs.
