Objective

To streamline and automate the documentation process for product labels and user manuals by implementing Kanban boards in Jira Software, aiming to improve workflow visibility, enhance communication, and provide actionable metrics for the documentation team.

Starting point

The client, a globally recognized medical device manufacturer, faced challenges in managing their documentation processes:

  • Complex Workflows: The creation of product labels and user manuals involved multiple steps, including input from various subject matter experts (SMEs), legal reviews, and translations into over 18 languages.
  • Lack of Visibility: The existing process relied heavily on emails and disparate tools like OneNote, MS Teams, Word, and Outlook, leading to difficulties in tracking progress and managing feedback.
  • Inefficient Communication: Team members and managers had limited visibility into project statuses, causing inefficiencies and potential delays.

Analysis

An in-depth analysis identified key issues:

  • Disjointed Tools: The use of multiple, unintegrated tools made it challenging to maintain a cohesive workflow and track documentation progress.
  • Manual Tracking: Reliance on manual methods for communication and task tracking led to potential oversights and inefficiencies.
  • Limited Metrics: The absence of a centralized system hindered the ability to gather meaningful metrics on team performance and project timelines.

Solution

To address these challenges, the following solutions were implemented:

Kanban Boards in Jira Software 01

Created two new Kanban boards—one for labeling projects and another for technical user manuals—to visualize and manage the documentation workflow effectively.

Customized Workflows 02

Designed workflows with 15 steps for labeling and 13 steps for documentation, tailored to the team’s specific processes, and eliminated unnecessary steps to streamline operations.

Centralized Communication 03

Integrated all communication and feedback mechanisms within Jira, reducing reliance on external tools and emails.

Metrics and Reporting 04

Enabled tracking of key performance indicators (KPIs) and provided managers with real-time visibility into team activities and project statuses.

Result

Post-migration, the company experienced significant improvements:
